A large number of activist organizations are holding conferences (shivir) i.e. meetings where they ask volunteers across India to come, stay for 2-3-10 days and in the shivir they are given information etc. So the activist spends 2-3-10 days, plus 1-3 days of travel time. The expenses also run into Rs 500 to Rs 1000 in travel and Rs 300 per person per day of boarding. Sometimes sponsors pay the cost and sometimes it is divided by sponsors and participants. Plus a lot of professionals and students cant find time and so find it difficult to attend conferences

IMO, following will be better way to conduct a conferences

1. The persons in-charge can video-tape their speeches etc and send them via YouTube or courier

2. Using some software, they hold audio-meetings over phone and internet, where people can ask questions. The audio-video answers and written transcripts will be emailed to all

This will enable those who dont have time to participate, and will also reduce costs-time in commicating ideas.
